What Is a Functional Capacity Assessment? What to Expect
A guide to NDIS functional capacity assessments, what happens on the day, and what the report is used for.
If your support coordinator, planner or GP has suggested you need a functional capacity assessment, you may be wondering what that actually involves. It sounds formal, and for a lot of people the idea of being assessed feels a bit uncomfortable. The reality is far more ordinary than the name suggests. At Life Solutions OT, an FCA is usually a conversation in your own home about how your day goes, what you find difficult, and what would make life work better for you. Here is what to expect.
What a functional capacity assessment actually is
A functional capacity assessment (FCA) is a detailed report prepared by an occupational therapist that describes how a person manages everyday activities. Rather than focusing on a diagnosis, it looks at function: what you can do independently, what takes significant effort, what you need help with, and where the right support or equipment would make a difference.
Under the NDIS (National Disability Insurance Scheme), funding decisions are based on evidence about your functional needs, not your condition alone. Two people with the same diagnosis can have very different daily lives. An FCA is the document that explains yours.
Why an FCA gets requested
Most FCAs are requested for one of a few reasons. You might be preparing for a planning meeting or a plan review and need current evidence of your support needs. Your circumstances may have changed, through a decline in function, a new living situation, or new goals you want funding to work towards. An FCA can also be genuinely useful outside the funding conversation. Families often tell us the report was the first time everything about their situation was written down clearly in one place.
What happens during the assessment
We come to you. Seeing someone in their own home tells us far more than a clinic appointment ever could, because we can see the actual doorway, the actual bathroom, the actual step at the back door.
The visit usually takes between one and two hours, sometimes longer for complex situations. We will talk through a typical day: getting up, showering and dressing, preparing meals, moving around your home and community, managing appointments and finances, and how you are going socially and emotionally. Where it is helpful, we may ask to see how you manage particular tasks, though only ever with your agreement and never in a way designed to catch you out.
We often use standardised assessment tools alongside that conversation, which give the report objective measures that funding decision makers recognise. With your permission, we may also speak with family members, support workers or other treating professionals to build a complete picture.
The most useful thing you can do is be honest about your hardest days, not just your best ones. People frequently understate their difficulties out of pride or habit, and it can lead to a report that undersells what they genuinely need.
What goes into the report
The finished report describes your functional strengths and challenges across each area of daily life, sets out your goals, and makes clear recommendations. Where we are recommending supports, we explain the clinical reasoning: why that level of assistance, why that piece of equipment, why that modification. That justification is what turns a request into a funded outcome.
We aim to write reports that are thorough enough to satisfy the NDIS, and readable enough that you and your family can actually understand what they say about you.
Arranging an assessment
You do not need a referral from a doctor to arrange an FCA. Participants, families and support coordinators can contact us directly. If you are self-managed or plan-managed, the assessment is generally funded from the capacity building supports in your plan. It is worth checking your plan first, and we are happy to talk through the process before you commit to anything.
